Welcome to the Limspec Wiki, a repository of specifications and more for informatics software

The LIMSpec has served as a tool for managing the evaluation process of a laboratory information management system (LIMS) or a laboratory information system (LIS) since 2007.[1] It has seen several iterations since then, transforming into a more comprehensive collection of requirements and specifications for systems beyond LIMS and LIS. Now a wide variety of requirement datasheets can be generated and housed based upon a collection of hundreds of individual specifications.

Standards Harmonization

LIMSpecs are not an attempt by the Laboratory Informatics Institute to create arbitrary standards, but rather to harmonize existing standards from different organizations and regulations (see [1]). LIMSpec specifications are designed to help both system users and vendors alike, for any kind of information management applications or systems in the laboratory, scientific and healthcare community. Specifications from applicable organizations (e.g. FDA, EPA, CLIA, HIPAA, etc.) are sifted through and specs created that (a) contain the common points, (b) identify and provide applicable unique specs from each and (c) do it in clear, understandable language, along with any additional information to help the reader more fully comprehend it.


A LIMSpec for a given type of application helps vendors to build to and assess their existing applications relative to market needs. And in responding to LIMSpec requirements, they have the opportunity to communicate to the marketplace exactly how their products and services meet those needs - which helps the potential buyer to make more informed choices in their selection process. Information is more freely available and all parties are the better for it.



The LabLynx, Inc. HealthCloud Physician Office LIS (HealthCloudPOL) is a cloud-hosted Laboratory Information System specifically designed for the physician office laboratory, available as either a free version or low-cost subscription. It meets and exceeds the User Requirement Specifications (URS) for such applications as defined by the Laboratory Informatics Institute.

Datasheets are a very good way to compare functions and features between applications, containing a list of expected features for that kind of app, with the vendor's description of exactly how they exist in that system - or if not, what they offer instead, and this HealthCloudPOL LIMSpec datasheet does just that.

Not only can you compare the features and functions included, but also the technology on which it is based and how that technology is employed in its design. These are features and functions of the physician office LIS application's technical structure and design, including database, operating system (O/S), languages, compatibilities and other technical information.

An LIS system's design and technology, like that of any other system, really determines its reliability, ease and speed of implementation and setup, usability, compatibility with other systems and devices, flexibility and thus scalability and life expectancy, and security/protection of data. No matter how many and what kinds of features and functions it boasts, the design technology and architecture are fundamental. If these elements are poor, the application will be poor - slow, subject to errors or crashes, un-intuitive, vulnerable to hacking or losing data and/or just ultimately unsatisfactory.

The LabLynx, Inc. HealthCloudPOL was specifically designed to leverage the same powerful, reliable laboratory-centric core functionality for the Physician Office Lab (POL), taking into account the POL's unique needs - like simplicity, reliability and speed/ease of use. HealthCloudPOL is built on the finest and most reliable technology and architecture, to support years of daily use with full scalability to add new kinds of testing and instruments and/or increased volume over time as you grow and change.

Below are the LIMSpec technical specs for HealthCloudPOL's system-level design and features.

Architecture and Technology

Any software application is product of the technology used and its design/architecture. This is the core that determines its functionality, reliability, integration capabilities, scalability, ease of use and ultimately its usefulness.

The User Requirement Specifications here address the Physician Office Laboratory Information System's system architecture and technology characteristics with these considerations in mind, with reference to any applicable clinical or lab compliance standards.



More and more, the need for labs to have their own application servers is being replaced by the advent of Cloud-hosted solutions. This is especially true in the POL market, with budgets aimed at maximizing core services rather than extensive IT infrastructure. If the LIS is offered as a hosted Software as a Service (SaaS) or Cloud-hosted product, then it, its hosting infrastructure and associated services must meet certain standards and requirements.


Compatibility and Interfacing

While the physician office lab's LIS needs are modest in comparison to those of single-purpose labs, one option the POL system should support is the ability to link up to other applications, databases and/or devices, such as instruments used for assays, to streamline the data management involved. It is common for the POL to want to pass patient data from an EHR, for instance, so that assay requests are linked correctly with the patient, or pass the LIS results report to the EHR or a patient portal for viewing. Of course, interfacing to any testing instruments is very common indeed, to eliminate the transcription errors and time involved with manual entry. Other systems or services (e.g. billing) and/or agencies (state reporting, CDC reporting) may also be entities with which the POL may want to integrate.

Additionally, the LIS must not require a proprietary O/S (operating system - e.g. Windows, Linux, OSX etc.) or other ancillary apps or hardware. It needs to be flexible and compatible with common environments.

These User Requirement Specifications relate to the POL LIS's abilities to meet these kinds of criteria.



The LIS for a POL, like any other clinical application, needs to have the ability to provide security for its data to HIPAA standards and beyond, with protection of PHI of primary concern. Any system considered for use needs to be designed so as to meet these and related requirements.


Data Protection

Not only must PHI be secure from unauthorized access, but that information plus related data - tests performed, results, etc. - needs to be saved in such a way that it isn't subject to being lost or accidentally deleted and unrecoverable. This also applies to user activity and information, in fact, all data retained in the system.


Configurability, Customizability, Scalability

While a system must be built on sound technology, its design must also incorporate the flexibility to be configured by user administrators and customized by developers with appropriate skills so that it can grow both vertically (in volume of data, users and testing) and horizontally (addition of more functions and features) according to the lab's requirements over time. This section details User Requirement Specifications that support these capabilities.


General Functionality

An LIS must meet the function and feature demands of the clinical laboratory, but moreover, it must contain general functionality meeting standards of professional software applications in any industry. Physician office laboratories expect these same system-level design functions and features in a POL LIS. These include the specifications below.


Standards and Compliance

LIS functions in a clinical laboratory are, critically, designed to help that laboratory comply with applicable regulations and standards, such as CLIA, CAP and others. Physician office laboratories as a subset of clinical laboratories generally must also ensure they meet requirements, albeit less comprehensive if they are doing CLIA-waived testing than medium or high complexity CLIA testing, and a POL LIS should help them do that. Here are specifications relating to regulatory standards and compliance that the system should support.








Features and Functions

The Features and Functions included with the LIS must be designed specifically to support the physician office laboratory, providing sufficient functionality to support all laboratory data management from the least (e.g. a small number of CLIA-waived tests) to the most (multiple physicians and locations using a single POL, with multiple instruments and moderate complexity testing), but without being overly complex and difficult to use, since user qualifications tend to be less than those for reference, clinical trials, research and other lab-centric businesses. Therefore, scalability is important if it is to be a system that is useful over time as practices grow. Equally, it should not be limited in its support of types of testing.

It is important that the POL LIS helps the practice meet CLIA and other compliance standards, so that it may concentrate on its main mission of patient care rather than having to worry about the additional regulations involved in running a lab.

The LIS features and functions user requirement specifications here, transcluded from, represent those concerns, and map to relevant compliance standards. They are presented by general areas of functionality.



A large part of the value any system brings to the table is determined by its implementation process. How long does it take, how complex is it, how many person-hours will need to be devoted to getting it operational? These parameters factor into the overall benefits it brings. A physician office is typically too busy with its core operations to devote significant time and effort into installing and setting up software for the laboratory. Therefore, LIS implementation needs to be, like the software itself, speedy, simple and inexpensive.

Basic Implementation

Standard implementation for many accounts is quick and simple, with your solution ready to be set up the same day. Users can follow the manual and do self-setup, or our experienced staff can work alongside you to set up tests/ranges, office information, additional users, patients, physicians and/or clients, contract labs, instruments, inventory and the other items included in initial setup, and learn how to use the system. Unlimited forum support is always included with your account.

Optional setup and training sessions, as well as any of a number of other features and services can begin as soon as you are ready. These include:

Setup & Training

Correct setup and training are crucial to the successful implementation and daily operation of your system. These services are normally included as part of your solution package, with manual materials and LabLynx, Inc. additional support team resources as backup.

Elements of standard setup and training include:

The very first thing that is done once the LIS application has been initially provisioned on the LabLynx Cloud Infrastructure is the setup of at least one user, usually the main LIS Administrator. The online manual supports administrators with step-by-step instructions on setting up users in the User Management section.

Your LabLynx Implementation Engineer will help and instruct you, showing you how to set up users, including login ID and password, password expiration, inactivity auto-logout, etc., level of access and more.

Assign Profiles

When setting up a user in the LIMS/LIS, a Profile must be assigned that specifies the access level the user is allowed. For example, here are three default access level profiles in a Physician Office Laboratory (POL) LIS:

  1. Lab Manager - This is the top level of access, and allows all administrative LIMS/LIS functions.
  2. Med Tech/Asst - This is the standard lab user, with the profile designed for all standard laboratory functions.
  3. Office Staff - This user/profile allows submitting of assay requests/orders and viewing/issuing of reports. It does not allow results data entry or other laboratory activities.

Again, the assignment of these profiles is performed during setup and training, described in the User Management section of the manual. Access profiles vary according to your specific requirements, and you can add and/or modify profiles to suit your needs.

HealthCloudPOL includes a standard Order Results Report that contains customer lab information in the header. Part of standard setup includes filling out the Settings screen fields so that the information is included on the report, including any laboratory logo. Instructions on completing this screen are available in the HealthCloudPOL manual Settings section. Completing this part of setup is included in Standard Edition subscription LabLynx, Inc. Setup & Training support. This can be done at any stage of the setup process.

Probably the most important part of HealthCloudPOL Setup & Training is the setup of the tests used in the lab. If this isn't correct and complete, then the LIS core functionality is also not properly functional. Test setup is included as part of Standard Edition subscription Setup & Training provided by LabLynx, Inc.. If you have the free Basic Edition, instructions on how to perform test setup are included in the HealthCloudPOL manual in the Test Management section. However, every lab is a little different, and it may be useful to consider the Standard Edition (you can switch at any time) to obtain Setup & Training services. To do that, contact LabLynx, Inc., or go to and contact us there.

There are over 50 common assays and ~1000 parameters included in your HealthCloud Physician Office LIS by default. But any tests that you want to use may need their parameters and/or ranges adjusted, instrument assigned etc. before being activated and published for use. Additional new tests may be created if necessary. Results may include any alphanumeric values, including symbols (e.g. <, >, etc.), and may also be selectable, with user-defined choices (e.g. present, ND, neg/pos etc.), with multi-select also available.

If instruments are to be integrated (Standard edition only), parameters must be mapped between the instrument and HealthCloudPOL. This will be part of LabLynx, Inc. integration services. Instructions are in the manual in the Test Management and Instrument Management sections as well, if you would like to review.

Additionally, for either account, any set of tests may be grouped as Test Panels, and assigned in a single click to specimens. This is included in Standard subscription Setup & Training, and instructions are also provided in the manual's Test Panel Management chapter.

As part of the required Setup & Training, any instruments used by the lab are entered into the Instrument Management area of the LabLynx, Inc. HealthCloud Physician Office LIS. For Standard Edition subscribers, if they are interfaced so that orders and/or results are sent/received between HealthCloudPOL and the instrument, then the analytes, or parameters, must be "mapped" or translated so both entities speak a common language. This will be included as part of LabLynx, Inc. services if interfacing is selected as part of your HealthCloudPOL Standard Edition package. Instructions on mapping parameters are also found in the HealthCloudPOL manual in the Test Management and Instrument Management sections.

Admin Training

The LIS Administrator serves as the "go-to" person for anyone using the system, and is the primary contact for LabLynx, Inc., usually responsible for submitting any tickets to the Help Desk (if subscribed) and for approving completed ones.

LIS Administrator (Admin) training is the centerpiece of required setup of HealthCloudPOL. The manual is designed to support you in accomplishing self-conducted training and setup. HealthCloudPOL Standard Edition subscribers have Setup & Training services delivered as part of your package. Training is hands-on and includes initial setup/configuration. It is conducted interactively online where it is recorded for reference and to help train others if/when needed.

User Training
User training is based around the Chapter 3 - User's Guide section of the HealthCloudPOL manual, and is delivered by LabLynx, Inc., managed in the Help Desk during implementation if included in your package (HealthCloudPOL Standard Edition subscription). Otherwise, users make use of the manual and other HealthCloudPOL Support Resources.

Unlike Admin training, User training is aimed at training staff on how to use the LIS only in relation to their particular roles. For instance, a user who only enters assay requests need not be taught how to batch samples and enter results. Different access profiles are assigned by the LIS Administrator to other users according to job function. User training focuses on their specific job functions with regard to HealthCloudPOL.

System Verification
The final step in required setup of the LabLynx, Inc. HealthCloud Physician Office LIS is to review each of the functions, running a trial order and specimens through assays and viewing reports, including specimen labels. This is called System Verification. It is a verification that the system is functioning as designed.

This is included in LabLynx, Inc. setup services if you have the Standard Edition subscription HealthCloudPOL package. Otherwise, you can use the manual and any other HealthCloudPOL Support Resources to help you verify functionality. If Setup & Training have been completed successfully, then Chapter 3 - User's Guide can serve as a guide to verification.


While HealthCloudPOL is user-configurable so that you can modify existing assays, create your own new ones, set your own choices in drop-down picklists, upload your own logo for display on the results report and the like - even in the free Basic Edition, if you opt for the Standard Edition subscription it also may be customized, that is, modified at the code level, to your specifications and preferences through the purchase of Custom Plugins. HealthCloudPOL readily integrates with any other application, database, agency or device/instrument that is capable of being interfaced. LabLynx, Inc. offers interfacing options to meet whatever your needs dictate. You can include integration services in your initial scope or request them at any other time through the Help Desk.

Connect your HealthCloud Physician Office LIS to your EHR so that patient information, assay requests and results are shared and automated, link instruments to the LIS so that requested assays are communicated to the instrument and results returned automatically to the LIS for review and reporting.

These and any other integrations - e.g. to billing services, reference labs, patient portal - are readily available, with many channels already in service for other customers and more released every day. Whatever it is, your integration plugin will be custom-configured to your unique needs.

Any requests for additional features or services are easily submitted through the Help Desk. Our highly trained and experienced staff are happy to do whatever it takes to make sure your LabLynx customer experience is a pleasant and successful one. Optional Plugins


LabLynx webLIMS for Clinical Laboratories is far more than just an LIS. It is a complete comprehensive platform of features and benefits tailored for you and your clinical lab. It contains all of the features and functions you need for your lab's operations. But there are also a number of additional feature and function plug-ins available to be added to your system, including integration with other systems or devices/instruments, and/or other modules. LabLynx even offers Hardware Add-Ons that include lab equipment/devices like instruments as well as label printers, scanners, etc. and IT hardware like PCs, hubs, cabling and more.

Any of these can be chosen as Implementation Options, available either initially or at any time thereafter. Choose from among them to define what you want now, and for the short, medium and long term, or decide to add on to your system whenever you like. Just let us know.

In a real sense all implementation and plugins are services, because where a feature or function exists it costs only to activate or configure it. Where it doesn't, it costs to develop it. All services are listed and discussed in the Services and Implementation Options sections of the webLIMS for Clinical Manual.

The exception to that is Hardware and Supplies, which are available through our LIMSforum Marketplace.

Your webLIMS benefits include the options to add any of a range of additional features and functions, through plugins. These items let you grow your system in modular fashion so you can add what you want when you want, in your own time and budget. The LabLynx webLIMS for Clinical Laboratories is a complete LIS on its own, but also gives you the ability to scale up and out as you grow your lab's offerings, or as you progressively increase automation to save time and money while increasing productivity and quality - and ensuring compliance. The onsite part of the LabVia solution is the LabVia Hub. It is a hardware/software product that provides a central nexus point for all of the integrated nodes (instruments/devices, software applications etc.), intelligently managing their data. Full instructions on installation and setup are provided, and a LabLynx professional will guide you through the process. Or, if you prefer, we can come onsite and install it for you, ensuring all interfaced data points communicate properly. Many systems need only be able to provide files that your® Solution can access to process and report, and/or be able to receive sample information from the LIMS. If serial connections are required, then a LabVia channel is utilized, and your hub will link up with the cloud-based software portion of LabVia to ensure perfect data routing and management.

LabVia Cloud

The cloud portion of LabVia is hosted for you in our Cloud Platform (IaaS), keeping your integrations securely managed in real time. And any time you need more integrations (e.g. you buy new instruments that you'd like to interface with your system), we can add a new channel for you that is configured to transfer the data you want, in the ways you want them.

You can forget about the details and concentrate on your own work, secure in the knowledge that your interfaces will continue functioning perfectly for as long as you have them. All maintenance, support and warranty is included in your annual agreement.

Report Plugins

LabLynx, Inc. has many other available report and/or label plugins besides those included with your standard LabLynx webLIMS for Clinical Laboratories solution.

These include both internal management reports, like Turnaround Time (TAT), Annual/Monthly Workload, Specimen Disposal, Training and Productivity reports, etc., as well as any custom formal reports with logo, header, etc. Specimen label sizes and designs can also be added to suit your needs.

Module Plugins


WebLIMS for Clinical works very well in conjunction with your existing patient portal. You can elect to integrate

and pass order statuses and results reports so they may be viewed securely, as well as emailed alerts when they are ready, etc. If you don't have an existing portal, choose the webLIMS Portal Plug-In and upgrade the patient experience while freeing you and your staff from answering phone enquiries and calling patients. The portal can also function as a web-based requesting platform, which can be useful for health organizations, reference labs, public health or hospitals.


Alerts are useful. The webLIMS Alerts plug-in library includes email notifications based on events, like completed assays, completed entire orders, out-of-range results, impending expiration of specimens, reagents, matrices etc., or according to schedules (QC, calibrations, annual physicals, colonoscopies, mammograms or other regular assays, etc.).

Even re-certifications/training, conventions or any other item can be set to alert you so you stay on top of your schedules and work, even if they aren't lab-related. Whether you simply need internal user alerts or notifications in conjunction with the Auto-Fax/Email plug-in, the LabLynx team will set up alerts for whatever needs you have.


In the same way that Alerts can be generated based on events or schedules, results reports or other items can be set up to be faxed, displayed on a portal site or emailed to designated parties, using the webLIMS' Auto-Fax/Email plug-in.


Invoicing based on assays, straight from the LIS, can be easily added to your capabilities with the webLIMS Invoicing Plug-In. Insurance companies, patient information and lab assay histories are all securely stored in your webLIMS for Clinical solution, and the Invoicing Plug-In pulls the appropriate data to ensure accurate and timely billing. Bill direct or integrate with a billing service - it's up to you with webLIMS's Invoicing Plug-In.

It's very useful to be able to pull any historical results and their associated information dynamically, according to immediate, ad hoc needs and criteria. The 'Data Warehouse plug-in makes all historical data available to authorized users, who can filter for exactly what they are looking for, by date range, assay, patient, specimen type - any criteria.

You always have the archived reports. But if you want to compare or review a collection of data based on specific criteria, the Data Warehouse is the plug-in that will make it happen for you. And the data are exportable as an Excel file.

Training Tracking

Keep track of all certifications and their history, along with dates of next required courses etc. Make sure you aren't at risk of being out of compliance by having expired certifications for any CLIA testing, or just generally keep track of training planning and completion.

The Training Tracking module plug-in keeps track of all of that for everyone, and lets you upload any certificates, etc. for handy access and reference. It can also be combined with the Alerts plug-in to issue reminders when it's close to the time to re-certify or when upcoming training of any kind is due.

Storage Management

Beef up the included Inventory Management functions with the Storage Control plug-in. It allows you to create locations with hierarchies, like "Storage Room 2, Freezer 1, 3rd shelf", etc., to keep track of exactly where any supplies or specimens are at any given time. Make sure you meet compliance standards by knowing where any and all devices, kits, reagents, specimens or other items are at any given time. You'll want to combine this with the Object Tracker module plug-in, so you can document and track chain of custody by checking items in and out, transferring 'ownership' and documenting disposal.

Object Tracker

Object Tracker
This plug-in works with the Storage Management module plug-in to document and track all movements of designated items through the lab and anywhere else. Use it to manage Check-in, Check-out, Transfer and Disposition of items in all areas of your facilities and those sent out and returned (e.g. to reference labs), documenting all movement, date and time, and the identity of the user performing the actions.


LabLynx, Inc. will add any scheduled events for you or show you how to create them, using the webLIMS Scheduling plug-in. Holding time alerts, password expiration notifications, training schedule notifications - any types of scheduled events you'd like to happen in the LIS (and send notifications about, using the Auto-Fax/Email and/or Alerts plugin) can be done.


The Validation Plugin module runs an automatic script and generates a report that will satisfy many regulatory compliance requirements for validation. Save thousands by using this great alternative to standard consultant-based validation projects.

Just because you don't see a function or feature here doesn't mean you can't have it. LabLynx will custom-build any type of plug-in you want.
